Background: The Institute for Educational Leadership (IEL) is a not-for-profit organization whose mission is to equip leaders to work together across boundaries to build effective systems that prepare children, youth and families for postsecondary education, careers, and citizenship. With an annual budget of 8 million, IEL is seeking a Finance Associate who can support the organization in its continued growth.
The Finance Associate will work closely with the Finance Coordinator and Senior Finance Manager to provide ongoing financial and administrative support for the staff and initiatives of the organization. The Finance Associate must be comfortable working in a continually evolving environment and thrive in a collaborative and detail-oriented role.
▪ Conducts initial reimbursement reviews and assist with travel reimbursements for IEL staff and consultants.
▪ Manages and tracks grant spending and ensures paced spending against budgeted goals
▪ Works with Project Managers and designated staff as appropriate to develop and monitor project budgets and analyze expenditures;
▪ Supports creation and maintenance of standard operating procedures, resource manuals, templates, and other documents to be used during the grant life cycle
▪ Ensure compliance with federal grant spending guidelines, guidelines provided by non-federal grantors, and those outlined in IEL’s own financial policy manual.
▪ Tracks expenses and prepares reports for Project Managers, and designated staff;
▪ Maintains contractual files, agreements and related documents, and necessary financial documentation for consultants, subcontractors, and subrecipients in accordance with regulatory requirements and institutional policy.
▪ Save and organize reimbursement scans in IEL’s electronic filing system
▪ Provide organizational and administrative support to prepare financial documentation for end of fiscal year and project audits.
▪ Identify and develop strategies and techniques to optimize grants administration and organization process.
▪ Maintain communications with IEL staff, consultants, subrecipients and subcontractors on financial matters.
• No staff supervisory responsibilities.
• Bachelor’s degree in Accounting, Finance, or related field.
• Demonstrated fiscal experience with non-profits.
• Knowledge of accounting software, such as QuickBooks preferred.
• Practical knowledge of internal financial controls and developing or enhancing processes that improve efficiency or execution.
• Familiarity with regulations such as Code of Federal Regulations (CFRs), OMB Circulars and other directives governing grants and contracting, a plus.
• Ability to manage multiple tasks simultaneously.
• Strong working knowledge of Microsoft Word and Excel.
• Excellent organizational skills and meticulous attention to detail
• High level of integrity, professionalism including teamwork and ability to deliver within short deadlines.
• Ability to work effectively with a broad range of staff and external stakeholders.
• Strong oral and written communication skills are required as well as tact and discretion
